Communications
Staff
Your staff are an important resource and need to be kept informed on how they can get back to work. You will need to provide information for them on when, how or if they need to report for work following an emergency. Possible methods to consider to do this include:
- Set up a specific telephone number with a recorded message for staff to seek information from.
- And / or set up a cascade arrangement for staff to be able to notify other staff of the current situation.
- E-mails, web-site information.
- A call-in voice recording communication on a specific password protected system is also another good method of informing staff.
You will need to be confident when relaying information to staff to ensure that they know the current position of their job security and how the incident will have affected their ongoing employment.
Management will need to have as much information as possible about the incident and the recovery plan to enable appropriate staff to be mobilised whilst reassuring other staff about the timescale for returning to work.
Customers
The recovery of your business will depend on the confidence of your customers that you are able to maintain supplies and products to them. Updating your customers on a regular basis with information regarding supplies, quality and returning to normality will help ensure your customer base is maintained. Consideration may need to be given to other methods of supply to maintain the supply chain.
The Public Generally
A calm and reassuring approach to the public about the way you are dealing with the incident and protecting your workers and the community (the fact that you are able to mobilise your Business Continuity Planning arrangements to aid your recovery will help!) will be especially important.
Government
Attached to this web site are a number of links to organisations where further information support and guidance can be obtained. North Hertfordshire District Council and Hertfordshire County Council both have web-sites which contain useful Business Continuity Planning information along with, on behalf of the Government, the Go East web-sites which contain further advice to aid your recovery.
Neighbouring Businesses
A network of neighbours and other local businesses will benefit from the prompt briefing of the nature of any emergency that may affect them in the vicinity. It is worth making contact to identify communication links and how information regarding emergencies can be shared.
Suppliers
It is important to update your suppliers with the current position regarding a major incident and your ability to receive or ship supplies, materials and goods. Information regarding contact numbers and contact personnel will aid this process and will prevent undue stock being transported or received when inconvenient to do so due to the major incident.
